To enable location-independent access to the work documents and improve efficiency, all dossiers needed to be digitized. This digitization had to be implemented in the shortest possible time while meeting the strict quality and security standards required of a financial services provider.</p>

<p><br /> The city of Winterthur was looking for a service provider to take over the digitization of the city administration's daily incoming mail. The letters were to be scanned centrally and distributed for further processing using an existing electronic mailbox solution.</p> <p>The contract was awarded at the beginning of August. Arcplace was commissioned to provide the scanning service for CHF 3.3 million. The realization of the project will begin in the coming weeks to be ready for the implementation next year.</p> <p>"We are delighted that we were able to convince the city administration of Winterthur that we have the necessary know-how and team to provide a professional digital mailbox service. <h3>User-friendly and compliant with legal regulations</h3> <p>With the new email archiving solution from Arcplace, Frankfurter Bankgesellschaft was able to solve the existing challenges elegantly. Today its employees have email inboxes with a virtually unlimited capacity. The growth of the message repository is constantly monitored in the background. As the Exchange Server now only needs to manage the latest information, its performance has improved significantly.</p> <p>The user-friendly solution is integrated seamlessly with Microsoft Exchange and Microsoft Outlook, meets all current compliance requirements and offers excellent flexibility. It allows extensive research (e-discovery) to be carried out quickly and reliably with the help of high-performance search and filter options. The legally compliant storage of emails takes place in-house on an archive store with soft-WORM functionality. WORM stands for ‘write once, read many’ and describes measures that permanently prevent the deletion, overwriting and modification of data on a storage medium.</p> <p>One particular advantage of this solution is that archived emails remain permanently visible to employees in Outlook (a small icon marks them as archived) and can easily and transparently be viewed via Outlook, Outlook Web Access (OWA) or extended Web-based search functions and also be restored if necessary. Advanced technologies like ‘single instancing’ help to reduce the storage needs associated with the archiving by storing identical data only once.</p>

<h3>Initial situation</h3> <p>The Valora Group used Windream archive technology to archive its personnel dossiers. The existing archive was no longer meeting the increasing compliance requirements. Another problem was that access to personnel information could not be controlled in a differentiated manner. Furthermore, the disruption in the archiving process generated a great deal of additional work. With a new archive solution within the existing SAP system landscape, all three problem areas were to be addressed at once.</p>

The existing scanning infrastructure (Kofax) was adapted so that documents with their metadata can be linked to the SAP system via the KGS Document Router and transferred to the KGS ContentServer4Storage archive.</p> <p>KGS ZADOC extends SAP’s standardized ArchiveLink® interface with the ability to process additional attributes and enable SAP-independent access. The existing personnel dossiers were transferred completely and error-free by Arcplace in just two days.</p>

<h3>Initial situation</h3> <p>The Hotelplan Group – a subsidiary of the MigrosGenossenschafts-Bund – had two archive systems, which were used by Hotelplan with 1,700 users and Interhome with 800 users respectively. The existing archives were subject to high and continuously increasing costs while providing an inadequate service. The company wanted a solution that had already been used in the Migros Group and had good references in Switzerland. Expertise and a quick understanding of special processes, which do not always correspond to the SAP standard, were further requirements for the project.</p>

After the conception and modularisation of the work packages – which included installation, migration, VIM integration and scanning methods – approximately 1.5 million documents were migrated from the test system and around 6.3 million from the productive environment into the kgs archive. The components kgs ContentServer, kgs MigrationServer, kgs ProxyServer and kgs ScanClient were used.</p>

<h3>Initial situation</h3> <p>At TL, over 1,600 employees are working every day to guarantee efficient public transport and accelerate its further development. Improved efficiency and progress for the HR department was also desired. Until now, all personnel dossiers have been physically stored in various filing cabinets. It was not possible to access the documents when working from home, creating difficulties for the HR department. The paper archive also took up a lot of space, which got in the way of the planned office redesign.</p>

In order to ensure that the documents could be transferred into the existing HR system, digitization took place in accordance with defined specifications. The PDF/A files generated were transferred to TL via SFTP server with the corresponding index values. The physical dossiers are also be stored with an Arcplace partner for a year and then destroyed in accordance with the highest security standards.</p>

The Human Resources Department manages the personnel dossiers of around 1000 active employees, which still were kept in paper form until recently. Manageable, data-protection compliant storage and efficient management of these dossiers became a necessity. The increased lack of space and high archiving costs also added to this.</p>

To ensure that the pages could be transferred into the existing HR system, they were digitized according to defined specifications.</p> <p>Together with the corresponding index values such as personnel number and document type, the generated PDF/A files were transmitted via SFTP server. Arcplace stored the physical dossiers in a short-term archive and destroyed them after three months in accordance with the highest security standards.</p>

<h3>Initial situation</h3> <p>When it comes to pensions, 1.4 million private individuals and over 40,000 companies already place their trust in Swiss Life’s many years of experience. The pension and financial solutions provider was generating ever more mortgage dossiers, which had to be managed and archived. For example, before the digitization project, around 25,000 paper-based dossiers relating to customers and administrative formalities were stored in a cellar. It was laborious to access to records quickly, searching for dossiers proved time-consuming and space was at a premium.</p>

Different scan profiles were created for the various dossiers and tests were performed of transmitting the generated PDF/A files via SFTP. Down in the basement archive, Swiss Life employees then packed the dossiers in boxes for transport and Arcplace employees inventoried them in a list. During processing, special set of rules specified which documents had to be sorted out, scanned and returned to Swiss Life. <p>All documents were physically stored in an archive at Raiffeisenbank Aarau-Lenzburg. If a customer advisor needed a dossier, they had to contact a service employee, who went to the archive to search for the documents. If the dossiers were stored at another branch, the documents had to be delivered by courier. Processing proved to be circumstantial, time-consuming and inefficient.</p>

The various branch offices delivered their paper dossiers in boxes, where they were prepared for scanning. It was crucial that the preparation of the documents as well as the scanning process complied with Raiffeisen Switzerland’s migration guidelines. Regular random checks of the scanned dossiers by the bank and Arcplace ensured that the quality and archiving criteria met the specifications. A member of the credit administration staff was on site throughout the processing of the large number of credit dossiers and provided the scanning team with expert support. This enabled the scanned documents to be imported efficiently and successfully into the e-dossier system provided for this purpose. Investing an expert employee in the project has paid off and contributed significantly to the high quality of the dossiers.</p>

<p>The personnel department at Hilti headquarters in Schaan administers some 1,900 personnel dossiers of active employees. Until recently, the dossiers were held in paper form. Searching manually for specific information was time-consuming and it was not possible to view the information of more than one person at the same time.</p> <p>At Hilti, a technology company which relies heavily on electronics and digitization in many areas, this paper-based personnel administration system was increasingly felt to be an anachronism. Gaby Mair, an HR specialist at Hilti, explains, “For efficiency reasons, there was no longer any escaping the need for digitization. We looked for a practicable solution to digitize the dossiers, so that we could include them in our SAP-based business process solution. <p>The Hilti Group supplies the construction industry around the world with technologically leading products, system solutions and services. Key product and solution areas include drilling, grinding, cutting and attachment technology, construction chemicals, laser measurement systems, as well as fire prevention and façade systems. One speciality is the cleverly devised fleet management system, which enables Hilti customers to put together their own individual and complete equipment fleets, including all-round service, at fixed monthly prices. <p><span class="lead-text">Hilti, the global construction technology group based in Liechtenstein, is also pushing digitization forward internally. With the support of Arcplace, 1’900 paper-based personnel dossiers were digitized at the group’s headquarters in Schaan so that they could be transferred to their existing SAP system as searchable PDF documents.</span></p>

<p>Hilti insisted on an in-house solution. Gaby Mair continues, “For us there was no question of allowing sensitive information to leave the premises. We wanted a solution provider who would carry out the digitization of the dossiers according to our requirements, with a professional infrastructure right here on our premises. Arcplace was able to offer us this service.” The scanning specialists from Arcplace also assisted the Hilti HR team in defining the structure of the future personnel dossiers and the appropriate document types, in compliance with the existing storage and future processes. Consistent quality management and reporting ensured adherence to the defined procedures, dates and costs.</p> <p>To ensure that the documents of a personnel dossier could be archived in a structured manner, the scan operator recorded the personnel number and the document type manually for every document as it was scanned. Following validation, a searchable PDF/A file was created for each document. The scanning professionals manually sifted out any document types which were no longer required, as specified by&nbsp;Hilti, and removed them for secure destruction. At the end of the project the scanned personnel dossiers were handed over on an external hard disk. An IT specialist from Hilti then transferred the digital dossiers into the existing SAP business process solution.</p>

Initial situation

<p>The service department of Grün Stadt Zürich was established over 160 years ago with one city gardener. Today, around 550 employees, apprentices and interns take care of “the green” in the city. GSZ personnel dossiers were kept in paper form, which made it difficult to access the information and ensure efficient, uniform management. The dossiers took up a lot of space and the manual archiving required additional effort every year.</p>

Within the context of digitization at the City of Zurich, which has the aim of end-toend electronic document management, electronic personnel dossiers are an important component. In order to be able to store the scanned dossiers in the Aconso HR system in a uniform manner, Grün Stadt Zürich opted for Arcplace’s scanning services. The preparatory work – such as inserting dividers and cover sheets or removing staples and sticky notes – was done by GSZ employees. The scanning was carried out by the Arcplace specialists on site. The approximately 70,000 pages were digitized according to defined specifications in order to ensure a smooth transfer of the generated PDF/A files, together with the corresponding CSV files, into the existing target system.</p>

Initial situation

<p>The Debrunner Koenig Group is a competent B2B trading partner and service provider for construction, trade and industry, which consists of the three business areas “Reinforcements”, “Multi Metal” and “Technical Products”. The Human Resources department is supported centrally by Debrunner Koenig Management AG (DKM), the service provider of the Debrunner Koenig Group. DKM was looking for a solution partner to digitize the around 2500 paper-based personnel dossiers stored centrally at the headquarters and to make these available to the HR staff in the branches via the HR system Abacus.</p>

First of all, the partners defined the structure of the digital personnel dossiers, during which the extensive expertise of Arcplace was utilised to the full. Scanning was completed at DKM’s offices in St. Gallen by an experienced, multi-lingual team from Arcplace using a temporary infrastructure. The dossiers were sorted and then processed in line with the ongoing personnel activities. This process included the validation of the dossiers in accordance with clearly defined requirements, sorting and allocation of the documents, scanning, indexing and final checks. The electronic files were then handed over in a way which ensured they could be transferred to Abacus without any problems.</p>

<p>At Jungheinrich, new contracts were sent as PDFs to the accounting department after they were signed. There they were checked and the associated information was noted in an Excel file. The original contract was stored physically in a folder. The lack of a central digital filing system made it difficult to search for information, and the paper archive required a lot of space and cost money. To improve the time-consuming and costly process of contract management, the company turned to Arcplace.</p>

The solution is completely web-based and offers authorised persons access to the records at any time, regardless of location, which in turn makes it easier and faster to search for information. Contracts entered in the system are archived automatically, which means the physical filing of paper documents has become obsolete. The flexible and scalable platform solution OnBase can be expanded and therefore also used for other use cases throughout the company in future.</p>

<h3>Solution</h3> <p>The solution from Arcplace contains the DMS system Kendox InfoShare as a central component, which the Burkhalter Group is already using successfully for the electronic invoice archiving. The existing paper-based personnel dossiers, which are stored in vertical folders, were scanned internally by employees and then transferred to Kendox InfoShare. The original structure of the dossiers under Contracts, Personal Development, Communication, Insurance and Case Management, Equipment and Salary Administration was maintained in the digital dossiers. Susanne Fischer, who was responsible for the project at Burkhalter Management AG, added: “The biggest job was the systematic inspection of the personnel dossiers, which&nbsp;included assigning the documents to the defined categories.” The solution was configured by Arcplace in such a way that the personnel master data could be retrieved directly from the HR management system used by Burkhalter, Xpert.HRM. What’s more the solution was integrated seamlessly into the existing Office environment. Correspondence in emails can be retrieved directly from Outlook for use in the personnel dossiers. Word, Excel and PDF files can be added to electronic personnel dossiers with a few mouse clicks.</p>

During a second step the leading Swiss electrical engineering group migrated all of its personnel dossiers to a completely digital management solution. Together with Arcplace, a comprehensive solution for the electronic processing and legally compliant archiving of the (previously paper-based) personnel dossiers was implemented.</span></span></p>

<h3>Initial situation</h3> <p>In 2013 the Burkhalter Group – supported by Arcplace – successfully migrated to automated invoice processing for accounts payable. The significant improvements that were achieved and the cost savings resulted in the “Electronic personnel dossiers” project being launched. A solution was wanted that could work on the existing technical infrastructure and enable 100% digital processing and storage of the personnel dossiers. <h3>Results</h3> <p>The Burkhalter Group is very satisfied with the way the project has gone and with the results achieved. IT specialist Susanne Fischer: “The electronic dossiers have resulted in measurably more efficient processes in HR administration. Information can be found really quickly via the full-text search function of Kendox. Authorised users can now access personnel information using different kinds of devices, irrespective of the place or time. The corresponding access rights can be defined precisely in Kendox.” The solution from Arcplace includes archiving, which complies with the strict compliance requirements, as logging takes place whenever documents are viewed or changed.</p> <p>Susanne Fischer also emphasises the user-friendliness. “The “Single-Sign-On” solution implemented by Arcplace increases convenience, as all functions of Kendox are available immediately after logging in to the corporate IT system. The powerful search functions and drag &amp; drop function are really appreciated by the users. The employees are obviously also pleased about the extra space they now have due to the removal of the bulky archive cabinets.” Kendox InfoShare can be extended easily. In addition to the electronic personnel dossiers already implemented, Burkhalter also decided to extend the range of functions of Kendox. Sub-processes for the approval of absences or viewing weekly reports or salary information will soon also be mapped within Kendox, which means they will be available simply and quickly for all involved areas and employees.</p>

The third-largest meat processing company in Switzerland

<p>Ernst Sutter AG is a leading Swiss company in the area of meat processing and meat production. Fresh meat and meat products are produced at five production sites and delivered to two specialist butchers, as well as the retail and wholesale trade throughout Switzerland via two regional delivery platforms. Various meat specialities are also exported to the EU and Asia. The company employs around 1,000 staff and generated sales of CHF 546 million in 2016. Ernst Sutter AG, which is now part of the Fenaco Group, launched the first meat quality and sustainability label in 1989 with ‘Agri Natura’.</p>

<h3>Digitally entering and processing vendor invoices</h3> <p>In order to tackle these problems, Ernst Sutter AG opted for an integrated solution from Arcplace, which enables the efficient electronic processing and legally compliant archiving of supplier invoices, fully integrated into the existing SAP ERP system. This is based on the software TCG DocProStar for scanning the paper and email invoices and on Basware Alusta (P2P) for implementing the digital invoice workflow. In the first step, the invoices are scanned using DocProStar and then transferred to Basware Alusta together with the extracted and validated data for the largely automated electronic account assignment, verification and approval processes.</p> <p>Invoices with an order reference are compared with the corresponding order system and, if the defined criteria are met, are automatically assigned and transferred to the financial accounting system for payment. Invoices that do not have any reference to the order&nbsp;system run through an electronic verification and approval process according to the double verification principle. The items to be approved are automatically recorded and sent to the responsible persons by email. The invoices conveniently approved by mouse click are then transferred automatically to the financial accounting system. Finally, the scanned invoice, including the account history, account assignment and header data, is stored in the windream archive system in a legally compliant manner.</p>

<h3>Assignment, verification and signing off of 35,000 paper invoices per year</h3> <p>Ernst Sutter AG receives around 35,000 supplier invoices each year. A distinction is made between invoices that have a direct reference, a so-called order reference, to the ERP system - for example for goods orders - and those without such a reference at the time of ordering, such as invoices for building maintenance, transports or office materials. In the past, incoming invoices without an ERP reference were opened at the seven locations, sent to those responsible for the cost centre for account assignment and then to the supervisor to be signed off. Once approved, invoices were forwarded to the accounting department for payment. In the case of goods invoices with a reference to the ERP system, the incoming goods were first entered in the system. The invoices were then forwarded to the accounts payable department, where they were compared with the incoming goods and, if they tallied, were released for payment. Invoices therefore took up to 14 days to process and especially the superiors complained about the mass of red tape. It was also difficult to track individual invoices within the company.</p> <h3>"50 % of our supplier invoices are now processed within two days. The results

<p>Results</p> <p>Michael Strübi, Head of Controlling and Member of Executive Management at Ernst Sutter, is very satisfied. “50 percent of our vendor invoices are now processed within two days. In the past this could take anything up to two weeks.” The project manager lists other important improvements: “We are now able to allocate costs more precisely and benefit from greater cost transparency. I have also observed an increase in cost awareness because all invoices end up with the responsible parties who have to approve them. The largely automated processes and legally compliant digital archiving enable us to avoid incorrect filing and document losses.”</p> <p>The project manager highlights the high acceptance of the system among employees and especially the management. “Supervisors used to spend hours checking paper invoices and looking for invoice information. Today, they receive one email per day, in which all open items are clearly listed and can be verified and approved with just a few mouse clicks.” The project was implemented by Arcplace’s specialists in just four months without interfering with ongoing accounting operations and works so well that it is to be implemented in other companies of the Fenaco Group in the coming months.</p>

<h3>Initial Situation</h3> <p>The Rhaetian Railway processes around 35,000 vendor invoices per year. They were processed manually and mostly on paper until now. The invoices were scanned for pre-processing and then forwarded to the relevant department in paper form. The documents were then assigned to accounts, signed and sent back to the accounts payable department, where they were scanned a second time and transferred to the accounting system to be booked and paid. There was no process transparency and a lot of resources were tied up, resulting in high costs.</p>

In view of the large number of documents that had to be digitized and classified every day, the company decided to outsource scanning in order to be able to further reduce manual, repetitive and timeconsuming activities.</p>

Use of the DocProStar technology plays an important role in classifying the incoming documents, since it works with the support of artificial intelligence (AI) in the form of machine learning. The solution had to be “trained” in advance with example documents from VERIT Immobilien. The system is constantly learning as it works, and this classification intelligence can be expanded – by way of the continuous improvements it makes through self-learning or the addition of new document types. The goal is to use these technologies to ensure that the solution is constantly optimized, thus relieving operators of manual activities and further automating processes. Moreover, detailed and dynamic reporting guarantees full transparency regarding processing quantities and automation rates.</p> <h3>"A structured inbound process is essential for us. A solution that is constantly evolving means that administrative burdens can be further reduced, and process automation increased. As well as document classification, the full service includes the extraction of relevant business data, comparison with master data and – if necessary – manual validation. <p><br /> "Arcplace was already offering 'Automated Mail Processing' on its website in 2007. However, this solution was met with little interest at the time, as companies had not yet digitized the processes triggered by incoming mail. We therefore removed the service and only offered it again in 2015 - with initial success," explains Robbert Spierings, CEO &amp; Founder. While the Digital Mailroom was still in its infancy, documents were scanned in but printed out again by those responsible in the departments. The road to the paperless office was long and there was no recognizable added value at the time.</p> <h3>Far more than just letter mail</h3> <p>While mail dispatch was long limited to physical letters or emails, the volume of incoming mail has changed dramatically. Mail is received via various digital channels, the volume of letters sent is declining and the volume of parcels sent has increased by 12.5% per year over the past 10 years. Working from home also has a major impact on efficient and secure mail processing within a company. Just as volumes and trends in incoming mail have changed, Arcplace's solution has also continued to evolve. <p><span class="no-break"><span class="lead-text"><span class="lead-text no-break">For the past year, an increasing number of employees have been working from home – also at Profond Pension Fund in Zurich. To ensure the daily mail does not get left behind in the company, Profond has chosen the Digital Mailroom Service “Light” from Arcplace. Incoming physical mail is diverted to the Arcplace Scan &amp; BPO Center, digitized and transferred to Profond for quick and easy further processing.</span></span></span></p>

<h3>Initial Situation</h3> <p>Profond is one of the largest independent collective pension funds in Switzerland with over 57,000 insured persons. It employs around 100 people at its locations in Zurich, Crissier, Biel and St. Gallen. Until now, incoming mail was distributed internally to all locations individually by physical means. Due to the increased amount of work in the home office, the timely receipt as well as efficient further processing of the letter post was at risk.</p>

The physical mail is forwarded to the Arcplace Scan &amp; BPO Center, where it is processed using a high-performance scanning infrastructure. One PDF/A is created per envelope and the generated files are transmitted each day to the customer via SFTP server. At Profond’s request, the standardized service was expanded with a so-called blacklist. With the blacklist, all letter post to HR is sent to an inbox after scanning, to which only a defined person at Profond has access. <p>Helvetia is a quality-oriented all-lines insurer with 160 years of experience. It is one of the leading insurance companies in Switzerland, supporting more than 1.3 million customers with 38 general agencies and around 3,500 employees.</p> <p>Mail receipt at <span class="no-break">Helvetia</span> currently takes place on a localized basis at various locations. After the mail is received, it is opened and forwarded by means of a group mailbox, largely in physical form, to the relevant department for further processing. In some cases mail is scanned after opening, classified by the logistics department, and distributed to the corresponding electronic mailboxes. These business processes are now being optimized and automated with the support of <span class="no-break">Arcplace</span>. “We are delighted that <span class="no-break">Helvetia</span> has opted for our scanning services and that we have been able to execute this ambitious project with such a renowned company”, explains <span class="no-break">Michael Niederjohann, Head of Scan Center &amp; BPO Arcplace</span>.</p> <h3>Processing of 8,100,000 pages a year</h3> <p>In future, through the staggered introduction of a digital mailroom over the next few years, a total of approximately one million pieces of mail – which corresponds to around 8,100,000 pages – will be forwarded centrally through a mailbox from<span class="no-break"> Helvetia</span> to the Arcplace Scan Center, where the mail will undergo sorting, opening, re-sorting, preparation for processing and scanning. Here, Arcplace will make use of the scanning technology from OPEX. The scanning workstation will take over the automated opening, the individual page recording and the scanning of the documents.</p> <p>After the mail items have been digitized, they will be forwarded to <span class="no-break">Helvetia</span> by means of secure data exchange. Detailed reporting on the processing provides daily information about the service provision by Arcplace. The physical items of mail will be stored for a fixed interim period and then certifiably destroyed.</p> <h3>A client portal for reporting and analyses</h3> <p>In order to be able to ensure the traceability of the tasks executed and to report on this, an electronic process monitoring system is being implemented during the course of the overall project.
