Raiffeisenbank Aarau-Lenzburg has five branches, making it one of the largest banks within the Swiss Raiffeisen Group. In order to make the processing of credit and customer dossiers more efficient, the 'Meeting Bank' opted for Arcplace’s scanning services. Over 35,000 dossiers, including 2,500 credit dossiers, were digitized on site in Kölliken.
All documents were physically stored in an archive at Raiffeisenbank Aarau-Lenzburg. If a customer advisor needed a dossier, they had to contact a service employee, who went to the archive to search for the documents. If the dossiers were stored at another branch, the documents had to be delivered by courier. Processing proved to be circumstantial, time-consuming and inefficient.
Arcplace set up a temporary scanning facility in an outbuilding of the Raiffeisenbank in Kölliken. The various branch offices delivered their paper dossiers in boxes, where they were prepared for scanning. It was crucial that the preparation of the documents as well as the scanning process complied with Raiffeisen Switzerland’s migration guidelines. Regular random checks of the scanned dossiers by the bank and Arcplace ensured that the quality and archiving criteria met the specifications. A member of the credit administration staff was on site throughout the processing of the large number of credit dossiers and provided the scanning team with expert support. This enabled the scanned documents to be imported efficiently and successfully into the e-dossier system provided for this purpose. Investing an expert employee in the project has paid off and contributed significantly to the high quality of the dossiers.
