Arcplace has digitized around 2500 paper-based personnel dossiers for the Swiss wholesaler Debrunner Koenig. Scanning was completed onsite at the customer’s location by the Arcplace specialists. The personnel information can now be accessed by HR staff in all subsidiaries in the HR system, Abacus, irrespective of the time or location.
The Debrunner Koenig Group is a competent B2B trading partner and service provider for construction, trade and industry, which consists of the three business areas “Reinforcements”, “Multi Metal” and “Technical Products”. The Human Resources department is supported centrally by Debrunner Koenig Management AG (DKM), the service provider of the Debrunner Koenig Group. DKM was looking for a solution partner to digitize the around 2500 paper-based personnel dossiers stored centrally at the headquarters and to make these available to the HR staff in the branches via the HR system Abacus.
Based on references, DKM chose Arcplace as scanning partner. First of all, the partners defined the structure of the digital personnel dossiers, during which the extensive expertise of Arcplace was utilised to the full. Scanning was completed at DKM’s offices in St. Gallen by an experienced, multi-lingual team from Arcplace using a temporary infrastructure. The dossiers were sorted and then processed in line with the ongoing personnel activities. This process included the validation of the dossiers in accordance with clearly defined requirements, sorting and allocation of the documents, scanning, indexing and final checks. The electronic files were then handed over in a way which ensured they could be transferred to Abacus without any problems.
