Today its employees have email inboxes with a virtually unlimited capacity. The growth of the message repository is constantly monitored in the background. As the Exchange Server now only needs to manage the latest information, its performance has improved significantly.</p> <p>The user-friendly solution is integrated seamlessly with Microsoft Exchange and Microsoft Outlook, meets all current compliance requirements and offers excellent flexibility. It allows extensive research (e-discovery) to be carried out quickly and reliably with the help of high-performance search and filter options. The legally compliant storage of emails takes place in-house on an archive store with soft-WORM functionality. WORM stands for ‘write once, read many’ and describes measures that permanently prevent the deletion, overwriting and modification of data on a storage medium.</p> <p>One particular advantage of this solution is that archived emails remain permanently visible to employees in Outlook (a small icon marks them as archived) and can easily and transparently be viewed via Outlook, Outlook Web Access (OWA) or extended Web-based search functions and also be restored if necessary. Advanced technologies like ‘single instancing’ help to reduce the storage needs associated with the archiving by storing identical data only once.</p>

<h3>Mail server under intense strain and new compliance requirements</h3> <p>Frankfurter Bankgesellschaft uses Microsoft Exchange for the central management of emails, appointments, contacts and tasks, and the employees use Microsoft Outlook at their workplaces.</p> <p>In the past, the lack of systematic email archiving often caused problems. The entire email traffic used to be recorded with the help of the journaling function of Microsoft Exchange. However, this solution no longer satisfied the newly released statutory regulations. The bank urgently needed a new and efficient email archiving solution.</p> <p>The following key requirements were defined for the solution:</p> <ul> <li>Reduction of the email system load through systematic archiving</li> <li>Fully automated archiving without user interaction</li> <li>Processing of proprietary PST files (PST files are the container files of Outlook in which tasks, notes, emails and the calendar are stored)</li> <li>Full conformity with new compliance requirements</li> </ul>

Another problem was that access to personnel information could not be controlled in a differentiated manner. Furthermore, the disruption in the archiving process generated a great deal of additional work. With a new archive solution within the existing SAP system landscape, all three problem areas were to be addressed at once.</p>

The existing scanning infrastructure (Kofax) was adapted so that documents with their metadata can be linked to the SAP system via the KGS Document Router and transferred to the KGS ContentServer4Storage archive.</p> <p>KGS ZADOC extends SAP’s standardized ArchiveLink® interface with the ability to process additional attributes and enable SAP-independent access. The existing personnel dossiers were transferred completely and error-free by Arcplace in just two days.</p>

<h3>Initial situation</h3> <p>The Hotelplan Group – a subsidiary of the MigrosGenossenschafts-Bund – had two archive systems, which were used by Hotelplan with 1,700 users and Interhome with 800 users respectively. The existing archives were subject to high and continuously increasing costs while providing an inadequate service. The company wanted a solution that had already been used in the Migros Group and had good references in Switzerland. Expertise and a quick understanding of special processes, which do not always correspond to the SAP standard, were further requirements for the project.</p>

After the conception and modularisation of the work packages – which included installation, migration, VIM integration and scanning methods – approximately 1.5 million documents were migrated from the test system and around 6.3 million from the productive environment into the kgs archive. The components kgs ContentServer, kgs MigrationServer, kgs ProxyServer and kgs ScanClient were used.</p>

<p>At Jungheinrich, new contracts were sent as PDFs to the accounting department after they were signed. There they were checked and the associated information was noted in an Excel file. The original contract was stored physically in a folder. The lack of a central digital filing system made it difficult to search for information, and the paper archive required a lot of space and cost money. To improve the time-consuming and costly process of contract management, the company turned to Arcplace.</p>

New contracts are entered directly by the contract manager in the contract categories predefined by Jungheinrich, during which all associated documents and information can be assigned. The solution is completely web-based and offers authorised persons access to the records at any time, regardless of location, which in turn makes it easier and faster to search for information. Contracts entered in the system are archived automatically, which means the physical filing of paper documents has become obsolete. The flexible and scalable platform solution OnBase can be expanded and therefore also used for other use cases throughout the company in future.</p>

Each day, the documents are transferred as PDF files directly from SAP and made available in an auditable (unchangeable) way. Furthermore, extensive functionalities were implemented to automate the approval processes.</p>

The solution

<h3>Solution</h3> <p>The solution from Arcplace contains the DMS system Kendox InfoShare as a central component, which the Burkhalter Group is already using successfully for the electronic invoice archiving. The existing paper-based personnel dossiers, which are stored in vertical folders, were scanned internally by employees and then transferred to Kendox InfoShare. The original structure of the dossiers under Contracts, Personal Development, Communication, Insurance and Case Management, Equipment and Salary Administration was maintained in the digital dossiers. Susanne Fischer, who was responsible for the project at Burkhalter Management AG, added: “The biggest job was the systematic inspection of the personnel dossiers, which&nbsp;included assigning the documents to the defined categories.” The solution was configured by Arcplace in such a way that the personnel master data could be retrieved directly from the HR management system used by Burkhalter, Xpert.HRM. What’s more the solution was integrated seamlessly into the existing Office environment. Correspondence in emails can be retrieved directly from Outlook for use in the personnel dossiers. Word, Excel and PDF files can be added to electronic personnel dossiers with a few mouse clicks.</p>

During a second step the leading Swiss electrical engineering group migrated all of its personnel dossiers to a completely digital management solution. Together with Arcplace, a comprehensive solution for the electronic processing and legally compliant archiving of the (previously paper-based) personnel dossiers was implemented.</span></span></p>

The initial situation

<h3>Initial situation</h3> <p>In 2013 the Burkhalter Group – supported by Arcplace – successfully migrated to automated invoice processing for accounts payable. The significant improvements that were achieved and the cost savings resulted in the “Electronic personnel dossiers” project being launched. A solution was wanted that could work on the existing technical infrastructure and enable 100% digital processing and storage of the personnel dossiers. The project objectives were defined as follows:</p> <ul> <li>Simpler processes with much less paper</li> <li>Faster and simpler retrieval of information</li> <li>Access to information irrespective of place or time</li> <li>Compliance with data protection policies (access rights)</li> <li>Strong data security and legally compliant archiving</li> <li>Significant saving of space in the archive</li> </ul> <p>Arcplace was chosen again as partner for the implementation – due to the good experience made during former projects.</p>

<h3>Results</h3> <p>The Burkhalter Group is very satisfied with the way the project has gone and with the results achieved. IT specialist Susanne Fischer: “The electronic dossiers have resulted in measurably more efficient processes in HR administration. Information can be found really quickly via the full-text search function of Kendox. Authorised users can now access personnel information using different kinds of devices, irrespective of the place or time. The corresponding access rights can be defined precisely in Kendox.” The solution from Arcplace includes archiving, which complies with the strict compliance requirements, as logging takes place whenever documents are viewed or changed.</p> <p>Susanne Fischer also emphasises the user-friendliness. “The “Single-Sign-On” solution implemented by Arcplace increases convenience, as all functions of Kendox are available immediately after logging in to the corporate IT system. The powerful search functions and drag &amp; drop function are really appreciated by the users. The employees are obviously also pleased about the extra space they now have due to the removal of the bulky archive cabinets.” Kendox InfoShare can be extended easily. In addition to the electronic personnel dossiers already implemented, Burkhalter also decided to extend the range of functions of Kendox. Sub-processes for the approval of absences or viewing weekly reports or salary information will soon also be mapped within Kendox, which means they will be available simply and quickly for all involved areas and employees.</p>

<p><br /> In practice, a change of property management involves a number of pitfalls when it comes to handing over the extensive number of dossiers. Especially when the new management firm works with digital dossiers, this involves a great deal of manual effort. This is because the documents that exist in paper form or as PDFs have to be transferred from the old management firm to the new company's own filing system and structure. Often, documents that are available digitally are even printed out and scanned back in to be sorted, reorganized and re-catalogued. The mandate access solution, which was jointly developed by <span class="no-break">Arcplace and VERIT Immobilien</span>, covers the entire process, from any scanning, to the automatic classification and indexing of the documents, to the targeted transfer to the digital archive.</p> <h3>Artificial intelligence as a core component</h3> <p>The core of the newly developed mandate access solution consists of logic based on artificial intelligence (AI), which was trained in advance using property-specific documents and the management firm's own filing structure. The AI component uses advanced methods such as "machine learning"&nbsp;to independently create suitable algorithms based on examples in the background, so that the documents to be classified are correctly recognized and processed in the live system. The clear and unambiguous set-up of a company's own dossier structures, the careful, representative selection of the right examples in sufficiently large quantities, and continuous training with new documents for the AI are key to achieving a high automation rate, meaning they are critical to achieving matches and ensuring the success of the project. If individual recognition rates are still too low or if the documents change over time in terms of content or layout, the algorithms can be continuously fine-tuned thanks to "self-learning", which means the AI is kept up to date with changing circumstances. It is important that the training and fine-tuning is done in defined, controlled and iterative process steps by technical experts.</p> <p>"With the new mandate access process, we have solved a fundamental problem in management together with <span class="no-break">Arcplace</span>. Regardless of whether the documents are handed over in physical or digital form, we now have a simple and smart solution for transferring all documents to the audit-proof archive in the form we require. The manager only has to intervene if the artificial intelligence shows too much uncertainty in a document," explains <span class="no-break">Martin Frei, Chief Digital Officer </span>at <span class="no-break">VERIT Immobilien</span> AG.</p> <h3>Clear added value for the sector</h3> <p>With the mandate access solution, the results of each mandate access activity can be transferred smoothly and quickly to the designated target system (archive/e-dossier). Due to the high degree of automation and state-of-the-art technology (AI), a process that is usually arduous and laborious can now be implemented in a very streamlined and largely automated manner. Preparatory work for scanning can be reduced to a minimum, resulting in valuable time savings. All documents from the different dossier types (property dossier, tenant dossier, owner dossier or caretaker dossier) can be scanned and classified with the same solution.</p> <p>Players in the property sector can therefore benefit from the preliminary work done by <span class="no-break">VERIT Immobilien and Arcplace</span>, and manage their own mandate access activities (analogue, digital or hybrid) using the same solution in future. Thanks to a high degree of automation, which is up to 90%, the manual effort required for accessing a mandate is reduced by up to 60%.&nbsp;The end-to-end process therefore solves a general sector problem when it comes to a change of management, and is completely new in this form in Switzerland.</span></span></span></p>

<p><br /> The <span class="no-break">Hotelplan</span> Group is a subsidiary of the Federation of <span class="no-break">Migros</span> Cooperatives and is responsible for strategy, finance and IT, among other things. The existing archives were subject to high and continuously increasing costs while providing an inadequate service. In the search for an alternative, the company opted for <span class="no-break">Arcplace's</span> solution. "We wanted a solution that is already used in the <span class="no-break">Migros</span> Group and had good references in <span class="no-break">Switzerland</span>. The project required the consultants to have a high level of expertise and the ability to quickly build up an understanding of our special processes, which do not always correspond to the SAP standard," explains <span class="no-break">Markus Spichtig</span>, Director Application Development at <span class="no-break">Hotelplan</span> Group.</p> <h3>Transfer of around 7.8 million documents to the new SAP archiving solution</h3> <p>Once the work packages had been concepted and modularized – which included installation, migration, VIM integration and scanning methods – approximately 1.5 million documents were migrated from the test system and around 6.3 million were migrated from the productive environment to the kgs archive. The components kgs ContentServer, kgs MigrationServer, kgs ProxyServer and kgs ScanClient were used.</p> <h3>Compliant archiving in SAP without any media disruptions</h3> <p>Thanks to the new solution from <span class="no-break">Arcplace</span>, which is fully integrated into the SAP system landscape, <span class="no-break">Hotelplan</span> is able to archive new documents without any media disruptions. The files are now archived in line with the higher compliance requirements. The Hotelplan Group commissioned the Swiss information management and archiving specialist Arcplace to develop and implement the new solution. Around 7.8 million documents were transferred to a new, legally compliant SAP archive based on technology from kgs Software. This reduced costs, increased stability and improved scalability.</span></span></span></p>

<p><br /> <span class="no-break">Jungheinrich AG</span> is one of the world's three largest service providers in the areas of industrial trucks, warehousing and material flow technology, and it is one of the leading solution providers for intralogistics. There they were checked and the relevant information was noted in an Excel file. The original contract was stored physically in a folder. The lack of a central digital repository made it difficult to search for information, the sending of a new contract to the accounting department could not be ensured, and the paper archive required a lot of space and cost money. To improve the time-consuming and costly process of contract management, the company turned to <span class="no-break">Arcplace</span>.</p> <h3>A continuous process – from creation through to archiving</h3> <p>The ECM solution implemented by Arcplace is based on <span class="no-break">Hyland's</span> leading platform <span class="no-break">OnBase</span>, which enables the highly efficient electronic management of contract documents. New contracts are entered directly by the contract manager in the contract <span class="no-break">categories</span> predefined by <span class="no-break">Jungheinrich</span>, during which all associated documents and information can be assigned. The solution is completely web-based and offers authorised persons access to the records at any time, regardless of location. Searching for information is therefore significantly easier and faster. "We have all the contracts in one place and can easily search or filter them according to the data we want," explains <span class="no-break">Marcello Leuci</span>, Head of IT at <span class="no-break">Jungheinrich</span> AG. Contracts entered in the system are archived automatically, which means the physical archiving of paper documents has become obsolete. <span class="no-break">Marcello Leuci</span> added: "We didn't want to have paper anymore, and we didn't want to spend hours searching for information." They check their orders based on the invoices and credit notes and physically file the paper documents in a folder, which is usually sent to a fiduciary at the end of the month. CMA wants to completely replace the time-consuming and costly paper processes with a digital solution by mid 2021. A multilingual digital platform is planned, which will make invoices and credit notes available as PDFs. Franchisees and fiduciaries should be able to easily access the legally compliant and clearly identifiable PDF documents at any time via a personal login. Further requirements defined by CMA include the daily transmission of documents as well as an exact document history. Around 12,000 single- and multi-page documents are to be processed per month.</p> <h3>Arcplace wins contract with innovative cloud solution</h3> <p>CMA chose <span class="no-break">Arcplace</span> AG from Zurich as its solution partner. <p><br /> deRham has been involved in real estate since 1899. The company manages more than 8,000 apartments, and each year it signs more than 2,000 new rental contracts and processes more than 50,000 invoices. While paper still plays a big role, deRham wants to digitize part of its processes so that it can work more efficiently with all its customers and partners. This is being done to reduce the environmental footprint, optimize employees’ administrative workloads and to have a more qualitative approach with customers, without losing sight of costs.</p> <h3>A transition plan for a digitized enterprise</h3> <p>To begin with, the leading document and workflow management platform OnBase by Hyland Software will be deployed within the management department. Access to electronic dossiers will allow fast and location-independent consultation. The dossiers are organized over the entire life cycle from receipt to archiving.</p> <p>The deRham management service is currently supported by the ERP property management software Garaio REM, into which OnBase will be integrated.</p> <p>To continue on this path of digitization, a process for validating incoming invoices will be set up, based on the OnBase solution proposed by Arcplace. Box Arcplace archives personnel dossiers for Valora

<p><br /> Valora's previous digital personnel dossier archive was outdated, could not be controlled in a differentiated manner and was very work-intensive. For these reasons, <span class="no-break">Valora</span> tasked the Swiss information management and archiving specialist <span class="no-break">Arcplace</span> AG with developing and rolling out a new archive solution. Unlike the previous solution, the new solution was to be fully integrated into the existing SAP system landscape.</p> <h3>Almost 400,000 documents transferred to the new SAP archive solution</h3> <p>Based on the archive software from KGS, <span class="no-break">Arcplace</span> has implemented a solution for storing new HR dossiers in SAP and transferring the existing dossiers. The existing scanning infrastructure was adapted so that documents with their metadata can be linked to the SAP system and transferred to the KGS Contentserver4Storage archive. Using the KGS ZADOC add-on, the standardized <span class="no-break">ArchiveLink®</span> interface from SAP was supplemented with the capability of processing additional attributes and enabling SAP-independent access. In only two days, <span class="no-break">Arcplace</span> migrated all of the existing 400,000 documents to the new compliant KGS SAP archive.</p> <h3>Compliant archiving in SAP without any media disruptions</h3> <p>Thanks to the new solution from <span class="no-break">Arcplace</span>, which is fully integrated into the SAP system landscape, <span class="no-break">Valora</span> is able to archive newly created personnel dossiers without any media disruptions. The dossiers are archived in line with the higher compliance requirements and are available to employees directly in SAP HCM. The use of the existing authorization concept of SAP HCM now enables highly differentiated control of the access to the dossiers. The structure of the personnel dossiers has been optimized and adapted to the current work processes in close collaboration between the HR department of <span class="no-break">Valora</span> and <span class="no-break">Arcplace</span>. <span class="no-break">Valora</span> is highly satisfied with the work of <span class="no-break">Arcplace</span> and the improvements achieved. <p>The improvements made during the switch to automated invoice processing in 2013 gave Burkhalter the incentive to start the “Electronic Personnel Dossiers” project. Arcplace developed a solution based on the DMS system Kendox InfoShare, which was already being used for invoice archiving. The paper-based personnel dossiers were scanned by employees while maintaining the structure based on subject, and then transferred to Kendox InfoShare. The solution was configured in such a way that the personnel master data can be retrieved directly from the HR management system, Xpert.HRM, while being seamlessly integrated into the existing Office environment. Correspondence in emails can be retrieved directly from Outlook for use in the personnel dossiers. Word, Excel and PDF files can be added to electronic personnel dossiers with a few mouse clicks.</p> <h3>Measurably more efficient processes in HR administration</h3> <p>The electronic dossiers have resulted in measurably more efficient processes in HR administration. Susanne Fischer, responsible for the project at Burkhalter Management AG: “Information can be found really quickly via the full-text search function of Kendox. Authorized users can now access personnel information using different kinds of devices, irrespective of the place or time. And the corresponding access rights can be precisely defined in Kendox.” The solution from Arcplace includes archiving that complies with the strict compliance requirements, as logging takes place whenever documents are viewed or changed. And the <span class="no-break">“Single-Sign-On”</span> solution that has been implemented as well as the simple drag &amp; drop functionality increase user convenience. Burkhalter had already decided to extend the range of functions of Kendox. <p>Thanks to Arcplace’s solution, the Romandie-based property management company Régie du Rhône is taking a big step forward and will be able to manage all of its property dossiers in an even more effective manner. Whether with respect to a building, tenant, owner or any commercial partner, document classification takes place automatically and searches are facilitated. Furthermore, every employee will be able to generate all outgoing mail using this new solution OnBase by Hyland. This was partly because there was no automatic email archiving. For reasons of compliance, in the past, email traffic had only been recorded using the <span class="no-break">Microsoft Exchange</span> journaling function. <h3>E-dossier solution from <span class="no-break">Arcplace</span></h3> <p>The Lucerne University of Applied Sciences and Arts issued a public selective tender for an electronic document management system to replace their paper-based student files, which was eventually won by <span class="no-break">Arcplace</span> AG. Following a successful pilot in the Department of Technology &amp; Architecture, the solution is now in place in multiple departments at the University. The central component is the Kendox InfoShare system. This indexes all documents and stores them in electronic dossiers in accordance with legal requirements. An interface to the CLX.Evento school administration software allows dossiers to be created which can then be accessed via a web client. The physical documents are digitized using a special scanning station. Employees can also directly add documents from Office applications. The Kendox system records the time of archiving and ensures the integrity of the document. Together with the access log, this fulfils the requirements of legally compliant archiving. Access rights to the e-dossier may be managed individually in accordance with central Active Directory user roles.</p> <h3>Major time savings and secure access to information</h3> <p>Dossiers and individual documents can be located within seconds using the integrated search function. Department heads and other authorized persons can access the information via a web interface, no matter where they are and what time it is. Regula Schärli, Bachelor &amp; Master Secretariat Head in the Lucerne School of Engineering and Architecture: "Use via the trusted MS Office environment is almost self-explanatory - after two or three hours it becomes very familiar." The digital dossiers can also be archived for the legally required period without any pressure on storage space, while paper consumption also falls significantly.
