Universal Archiving: new cloud-based archiving solutions

Arcplace, one of the leading Swiss providers of document management and archiving solutions, is launching "Universal Archiving", an archiving offering optimized for the cloud. By utilizing the latest technologies, the solution significantly improves accessibility, scalability, and security in digital archiving. The new solutions are suitable for medium-sized to large companies that want to archive structured and unstructured data from different sources in a legally compliant manner and use it efficiently.

Over the last ten years, the archiving sector has developed considerably due to the digital transformation. This change has meant that archiving is now mainly digital, which simplifies access and increases security at the same time. In addition, companies are now faced with the task of having to store not only documents, but also multimedia content and data from various sources in a legally compliant manner. More and more companies are recognizing the value of data (digital assets), which can be made more usable on an ongoing basis with the help of data analytics and business intelligence.

Cloud-based archiving offers major advantages

Universal archiving is provided via the powerful Arcplace Swiss Cloud, public cloud or private cloud. In all cases, customers benefit from the same advantages:

  • Better accessible data, more security, and less effort

Centralized storage and modern interfaces enable quick and easy access to all types of content, thereby improving data accessibility. As only one repository needs to be managed, time and resources can be saved. Standardized security protocols ensure consistent protection for all archived company information.
  • Efficient migration of legacy archives

Old archive systems can be efficiently migrated to the cloud era with Universal Archiving from Arcplace. The high maintenance costs associated with legacy archiving systems and the risk of data loss or corruption are minimized.
  • Storage of data from applications that are no longer used

Universal Archiving enables the secure and legally compliant storage of data from applications that have been replaced and are therefore no longer in full active use, but from which data still needs to be retained for legal reasons. Old applications then no longer need to be operated and maintained at great expense, which reduces complexity and costs.

  • Centralized retention management – deletion of data

Universal Archiving enables the controlled and legally compliant deletion of data or the suspension of the retention policy in the event of any legal cases ("legal hold").

  • Targeted research regarding data protection and any redaction/deletion

Universal Archiving makes it possible to search through data sets in a targeted manner. Photos and film sequences can also be included. Depending on the file type, it is possible to redact or selectively delete data to fulfil the requirements of data protection legislation.

  • Integration into existing IT landscape

Universal Archiving also provides access via API (API-first approach) for integration into existing applications or process management platforms, thereby enabling an increase in the level of automation.

A future-oriented service in the best Arcplace tradition

According to Arcplace founder and CEO Robbert Spierings, the new service is a logical extension of the Arcplace portfolio: "With the Universal Archiving solution, we are adopting the basic idea of Arcplace – our commitment to the efficient and secure archiving of company information, which began in 2006 with email archiving services. With the new solution, we are responding to the changing needs of our customers and enabling them to benefit from the latest advances in cloud technology."
