Until recently, the personnel dossiers of the active employees, of which there are around 1,900, had been held in paper form by Hilti's HR department. The company was looking for a solution to digitize these documents so that they could be used in the SAP-based business process solution. For Hilti, there was only a solution provider that would be able to digitize the dossiers on-site in Schaan with a professional infrastructure. And for this reason, they chose the scanning and document management specialist Arcplace.

The scanning specialists from Arcplace also assisted the Hilti HR team in defining the structure of the future personnel dossiers and the appropriate document types. To ensure that the documents could be archived in a structured manner, the scan operator recorded the personnel number and the document type manually for every document as it was scanned. Following validation, a searchable PDF/A file was created for each document. At the end of the project the digital personnel dossiers were handed over on an external hard disk, which enabled them to be imported into Hilti's SAP business process solution with ease.

Simpler, faster processes and space savings

Hilti is satisfied with the way the project went and with the results achieved. Gaby Mair, an HR specialist at Hilti, explains, "The goals of the project have been achieved within the defined budget and time frame. The digital personnel dossiers significantly simplify and speed up the work processes in HR. We can now access personnel documents wherever we are, search for specific information and share it within an authorized group of people. And access to the electronic personnel dossiers is regulated by means of a detailed system of access rights."
