The Debrunner Koenig Group is a competent B2B partner and service provider for construction, commerce and industry and consists of three divisions: “Reinforcements”, “Multi Metal” and “Technical Products”. The company’s Human Resources is centrally managed by Debrunner Koenig Management AG (DKM), the service company of the Debrunner Koenig Group. DKM was searching for a solution partner to digitize around 2,500 paper-based personnel dossiers stored at the headquarters, which would then be made accessible to HR employees at the branches via the Abacus HR system.

High-performance on-site scanning by the Arcplace team

Based on references, DKM selected Arcplace as the scanning partner. The companies first jointly defined the structure of the digital personnel dossiers and DKM was able to make full use of Arcplace’s considerable expertise. Scanning took place at DKM in St. Gallen and was performed by an experienced multi-lingual Arcplace team on a temporarily installed infrastructure. The dossiers were hierarchized and processed based on the current HR requirements. The process involved the adjustment of the dossiers according to clearly defined provisions, the sorting and assignment of the documents, scanning, indexing as well as the final check. The electronic dossiers were then handed over so that they could be smoothly transferred to Abacus.

The dossiers are now digitally available across the entire group

Thanks to the successful digitization project, which was completed on time and on budget, the personnel dossiers are now electronically available to HR employees throughout the entire group in the Abacus HR system. This significantly accelerated the HR processes at Debrunner. The Arcplace integrated scanning service ensures that sensitive personnel information remained in the company and that this information was also constantly available during the process. The elimination of paper filing also freed up valuable office space at the headquarters.
