Arcplace digitizes the invoice dispatch for Coop Mineraloel AG

Paper invoices are a thing of the past. With the support of Arcplace, Coop Mineraloel AG will completely digitize the invoice and credit note processes for the more than 300 Coop Pronto franchisees. A cloud document platform hosted by Arcplace will enable Switzerland's leading mineral oil company to make significant savings in costs and resources. In addition, throughput times will be noticeably reduced.

Hundreds of paper documents are sent out every day

Coop Mineraloel AG (CMA) prints, packs, franks and sends out hundreds of paper invoices and credit notes every day for the more than 300 Coop Pronto franchisees. They check their orders based on the invoices and credit notes and physically file the paper documents in a folder, which is usually sent to a fiduciary at the end of the month. CMA wants to completely replace the time-consuming and costly paper processes with a digital solution by mid 2021. A multilingual digital platform is planned, which will make invoices and credit notes available as PDFs. Franchisees and fiduciaries should be able to easily access the legally compliant and clearly identifiable PDF documents at any time via a personal login. Further requirements defined by CMA include the daily transmission of documents as well as an exact document history. Around 12,000 single- and multi-page documents are to be processed per month.

Arcplace wins contract with innovative cloud solution

CMA chose Arcplace AG from Zurich as its solution partner. The cloud solution proposed by Arcplace, hosted and managed in a Swiss data center, allows for highly efficient digital document processing. It is based on the Hyland ECM platform "OnBase". This solution allows all requirements to be met out-of-the-box and, if necessary, the solution can be extended with further ECM/DMS functionalities (e.g. HR-Dossier). The documents are transferred as PDFs directly from SAP. The solution also includes sophisticated functionalities and workflows for managing approvals. Vanessa Walliser, project manager at Coop Mineraloel AG, is impressed by the new digital cloud document platform: "The solution with OnBase meets our functional specifications and can be implemented as a managed service with minimum resource input on our part."
